Privacy Policy

This site holds information about roughly two hundred children — their names, birth dates, addresses, and in some cases their allergies and medications. We wrote this policy to say exactly what we hold, who can see it, and how you get it changed or removed. If anything here is unclear, ask us before you register.

Who we are

What we collect

About you, the parent or guardian: your name, email address, phone numbers, and mailing address. If you pay online, our payment processor also records the billing name and address you enter.

About your player: their name, date of birth, and whether they play baseball or softball. Once they are offered a place on a team we also ask for their school and grade, which hand they bat and throw with, positions they play, uniform sizes, an emergency contact, and — so a coach can act if something happens at a field — allergies, medical conditions, medications, their doctor's name and phone, and your health insurance provider and policy number.

What happens in the system: the agreements you sign and when, payments and refunds, which team your player is placed on, and emails we send you.

Children's information

Children do not have accounts here and we never collect anything directly from a child. Everything we hold about a player was given to us by their parent or guardian, or created by the club — a team assignment, a payment record.

We do not advertise to children, we do not build profiles for advertising, and we do not let anyone else use this information to do either. A child's information is used to run the season they are registered for, and nothing else.

Who can see it

Access follows the job, and medical information is the line we are strictest about.

These limits are enforced by the database itself, not by which page somebody opens. An administrator can also view the site as another person to help with a problem; that is read-only, it cannot make a payment or sign anything, and every use of it is logged.

What we do not do

We do not sell your information, and we never will. We do not share it with advertisers or data brokers. We run no analytics, no tracking pixels, and no third-party scripts of any kind on this site — nobody is watching you browse.

Who else touches it

Our own server. The database runs on hardware the club rents and controls, not on a third-party service that holds your data for us.

Stripe handles payments. Card numbers go straight to Stripe and never reach our servers — we keep only the brand, the last four digits and the expiry date so you can recognise your own card.

An email provider delivers our messages to your inbox.

An AI assistant. Club administrators can ask questions about the season in plain language — “who has not paid yet?” — and the answer is produced by a language model run by a third party. To answer, the question and the relevant records, which can include player names and amounts owed, are sent to that provider. It is available to administrators only, it can read but never change anything, and it is not used for medical information.

How long we keep it

Registration and payment records are kept while your players are with the club and afterwards for as long as the club needs them for its accounts and its insurance — expect several years. Signed agreements are kept with the exact wording you agreed to, because that is the only honest way to hold a record of what was agreed.

Backups are encrypted and taken nightly. A deletion request removes your information from the live system promptly; it ages out of backups as those backups are replaced.

Your choices

See and correct it. Sign in and open your account — your details, your players, and your payment history are all there and editable.

Photos. You choose whether we may use photographs of your player, and you can change your mind at any time. It never affects playing time.

Email. You can unsubscribe from club news at any time. Receipts, failed payment notices and account emails still send, because they are how you know where your money went.

Delete it. Ask us and we will delete what we are not required to keep, and tell you plainly what we are keeping and why.

Keeping it safe

Traffic to this site is encrypted. Passwords are stored hashed, never in readable form. Access is limited by role and enforced in the database. Backups are encrypted. No system is perfect — if we ever discover a breach affecting your information or your players', we will tell you.

Changes

If we change this policy we will update the date at the top. If a change materially affects what we collect or who can see it, we will email you rather than quietly rewriting the page.
